Charm EHR Training Specialist

Most of what practices dislike about ChARM EHR is not the software. It is a template nobody rebuilt, a billing workflow copied from the last system, and a staff of eight who each learned the product by guessing. That gap is the work — and it is why we need another person who can close it.
You would be running live, remote training for independent medical, behavioral health and integrative practices across the US: getting a front desk confident in scheduling and eligibility, getting providers out of their own way in charting and e-prescribe, and getting billing to stop re-keying things Charm already knows.
What you would do
- Run live, role-based virtual training for front desk, clinical staff, providers and billing — usually 60 to 90 minutes a session.
- Sit with a practice, watch how they actually work, and rebuild the Charm configuration that is fighting them.
- Write the short things people keep: quick-start guides, cheat sheets, one-page workflows for a specific task.
- Coach a practice’s internal super-user so they stop needing us for the small stuff.
- Hold follow-up office hours after go-live, when the real questions surface.
- Tell us — and the client — when the answer is a workflow change rather than more training.
What we are looking for
The one thing we cannot teach you on the job is Charm itself. Everything else is negotiable.
- Hands-on ChARM EHR / CharmHealth experience — you have used it daily in a real practice, or configured and supported it for others.
- Working knowledge of at least two of: scheduling and intake, clinical documentation and e-prescribe, lab orders and results, billing and claims.
- You can teach. Specifically: you can hold the attention of a skeptical medical assistant on a Tuesday afternoon and leave them able to do the thing unsupervised.
- Comfortable running your own sessions end to end — scheduling, screen share, recording, follow-up notes.
- Legally able to work in the US as an independent contractor.
- You are careful with PHI. Training happens inside live systems; you understand HIPAA and behave like it.
Nice to have, not required
- Experience migrating a practice onto Charm from another EHR.
- Background in a specialty we serve a lot of: functional and integrative medicine, behavioral health, direct primary care.
- Comfort with the Charm API, Zapier, Make or n8n — some clients want automation, not more clicking.
- Credentials that matter to practices: RN, MA, CPC, RHIT, or years on a real front desk.
How the engagement works
This is a 1099 contract, not a salaried role, and it is deliberately part-time to start. We pay per session, with the scope of each one agreed in advance — so you know what you are being paid before you accept the work, and you are never on the hook for the parts of a project you did not quote.
Volume grows with what you can take on. Several of our contractors started at one or two sessions a week alongside other work; some now run entire implementations. We would rather build that slowly with the right person than hire fast.
You keep your own hours. Sessions are scheduled with the client directly, in their timezone, and almost all of them land inside US business hours.
